Payday filing compulsory from April 1

The Inland Revenue Department (IRD) has announced that employers must file employment information every payday instead of on ‘Employer Monthly Schedule (IR348) from April 1, 2019.

An IRD Website Notification said that from April 1, 2019, employers must also provide new and departing employees’ address information, as well as their date of birth – if they have provided it to the employer, and file electronically (from payday compatible software or through myIR) if the annual PAYE/ESCT is $50,000 or more.

“The due date for payment remains the same at the 20th of the month (or 5th and 20th of the month for twice-monthly filers,” the notification said.

IR-File discontinued

From March 11, 2019, the IR-File service in myIR, used to file Employer Monthly Schedules and Employer Deductions forms, will be discontinued.

The ‘Payroll Returns’ account replaces this, which is available now in the My Business section of myIR. myIR owners may need to delegate access to others.

How to Payday File

You can switch to payday filing now. Review your payroll processes, plan and schedule when to make the switch. You can let us know you’re switching through myIR.

Through myIR: Opt in through the Payroll returns account. You can use the file upload or online entry options. We have how-to videos available on how to do this.

Using payroll software: File directly from your software.

A myIR account is a pre-requisite for this option as your myIR logon credentials are required to authorise any file submissions from your software. Ask your software provider when they’ll have payday filing compatible software.

Filing with paper: From March, you will receive Employment Information (IR348) and New Employee Details (IR346) forms every month. These will replace the Employer Monthly Schedule (IR348) forms.

Note: Paper filers can’t switch to payday filing before April 2019 unless they change to electronic filing.
